§ SERVICES — FIVE DISCIPLINES

Five disciplines. One operating system.

Outcome framing, not feature lists. Every Vanta Flows engagement maps to one of these five — or the architecture that combines them. Pricing is in the audit call; what you see here is what you walk away with.

§ ENGAGEMENT PRICING

Two ways to work together.

Fixed-price for clearly defined builds, retained partnership for ongoing architecture work.

Fixed-price builds

$3,000 to $10,000

≈ R55,000 to R185,000

One-time engagements with clear scope, deliverables, and a defined end date. Best for projects with a known shape: a CRM build, a workflow automation, a dashboard system.

Final pricing determined in audit call based on complexity and scope.

Retained automation partnerships

$2,000 to $5,000 per month

≈ R37,000 to R92,000 per month

Ongoing partnership for businesses with continuous automation needs. We handle architecture changes, new integrations, and system maintenance as part of your operations team.

3-month minimum commitment. Quarterly reviews.

§ FAQ — Engagement

Q1How do I know which tier I need?+
If you have a clearly defined project with a known scope, fixed-price is usually the right call. If your operations are evolving and you need ongoing architecture support, retained partnership fits better. Audit call helps us figure this out together.
Q2What's not included in the price?+
Third-party platform subscriptions (Monday.com, Make.com, Claude API). We're not a reseller — you own the accounts and the data. We architect, build, and hand off.
Q3What if we need changes after the build?+
Fixed-price builds include 14 days of refinement post-handoff. After that, changes are billed hourly or roll into a retained partnership.

Business Operating System Design

One source of truth for how the company actually runs.

How long 4–6 weeks Best for Founder-led teams of 8–50

Most service businesses have tools, not a system. We design the operating layer underneath — roles, pipelines, handoffs, reporting — so anyone in the company can answer "where is X" without asking a person.

What you walk away with

  • 01A documented Monday.com (or chosen) workspace built around how your team actually works
  • 02Role matrices so every accountability has one owner
  • 03SOPs that live inside the tool, not in a Notion doc no one updates
  • 04A reporting layer that surfaces the 5 numbers leadership needs daily
  • 05Loom training library + 30-day support window

CRM & Pipeline Architecture

A CRM your team will actually use.

How long 3–5 weeks Best for Teams with 3+ sales reps

CRMs fail when fields, stages, and automations don't match how your team sells. We architect the pipeline around the deal flow, then wire the rest of the business — quotes, contracts, post-sale handoff — into the same spine.

What you walk away with

  • 01A pipeline model matched to your real sales motion (inbound, outbound, partner-led, hybrid)
  • 02Stage definitions and exit criteria so deals move predictably
  • 03Automations for follow-up, handoff to delivery, and lost-deal recycling
  • 04Sales reporting that tells leadership what's happening this week, not last quarter
  • 05Migration plan if you're switching platforms

Advanced Workflow Automation

Make.com built right, not Make.com built fast.

How long 2–4 weeks per cluster Best for Teams running 10+ automations

Automation breaks when nobody owns it. We build resilient Make.com scenarios with proper error handling, fallback paths, and observability — the kind of infrastructure that runs unsupervised for years, not weeks.

What you walk away with

  • 01Production-grade Make.com scenarios documented to handover spec
  • 02Error handling, dead-letter queues, retry logic
  • 03Logging into Monday.com or Slack so failures surface in 60 seconds, not 60 days
  • 04Replace the brittle Zapier chain you stitched together at 2am last quarter
  • 05Source-of-truth diagrams for every workflow

Executive KPI Dashboards

See the five numbers that drive the business. Live. From one screen.

How long 3–5 weeks Best for Leadership flying on instinct

Most leadership reporting is a Monday-morning archaeological dig through spreadsheets. We build dashboards that answer the questions you actually ask, with data that's accurate at the moment you look at it.

What you walk away with

  • 01Identification of the 5–7 metrics that actually drive your business
  • 02Live dashboard pulling from Monday.com, your CRM, finance tools, and ops platforms
  • 03Weekly Slack KPI digest auto-posted to the right channel
  • 04Drill-down architecture so "why is X down" can be answered in 2 clicks, not 2 hours
  • 05Documentation so a new exec hire understands the dashboard on day one
Talk about your reporting

API & Custom Integrations

When off-the-shelf tools won't talk to each other, we make them.

How long 2–6 weeks Best for Unique stacks & AI workflows

Sometimes the integration you need doesn't exist. We build it — properly. Custom API integrations using the same patterns we'd ship to enterprise: idempotent, observable, version-controlled, and documented.

What you walk away with

  • 01Custom integration between any two systems with public APIs
  • 02Webhook handlers, queue management, error recovery
  • 03Use of Claude API for document extraction, classification, structured data tasks
  • 04Documentation including OpenAPI spec where applicable
  • 05Handover so your team can extend it without re-hiring us

§ FOCUS

What we won't do.

We focus narrowly because that's where our edge is. Here's what we don't take on, even when asked.
  • 01

    WordPress builds and CMS work

We're not a web agency. If you need a marketing site or blog, we'll point you to one we trust.

  • 02

    Generic Zapier connections

Single-step automations belong in your team's hands, not ours. We focus on architectural systems work.

  • 03

Social media management or content marketing

Different discipline entirely. Plenty of agencies do this well — we're not one of them.

  • 04

    Lead generation services

We build the systems that handle leads once they arrive. Generating them is someone else's job.

  • 05

Quick-fix consulting calls without a build

We're a builder, not a consultant. Audit calls are free; advice without execution isn't our model.

§ NEXT STEP

Not sure which service fits?

Every engagement starts with the same audit call. We'll tell you which of the five — or which combination — solves your actual problem. If we're not the right fit, we'll say so.
